What are the exhibit terms & conditions?

Please note that these terms & conditions will also be in the registration path and all exhibitors must agree to the terms. Our terms & conditions are as follows.

Application Deadline & Fees
Applications for exhibit space are considered on a first-come, first-served basis. Given limited space in the exhibit area, it is recommended that your organization complete their registration as soon as possible. The early bird deadline for receipt of the application as full payment is April 1, 2025 at 5:00 PM EDT. Rates will increase $500 for all applications received after April 1, 2025. Exhibit space is assigned by IAMSE in the order that signed contracts and payments are received.

Cancelations or Reductions
Cancelation requests must be received in writing no later than May 15, 2025 at 11:59 PM EDT, and are subject to a $500 cancelation fee per booth. If space is reduced prior to April 15, 2025, 20% of the total cost of space will be retained. If space is reduced between April 16, 2025 - May 15, 2025, 50% of the total cost of the space will be retained. There are no refunds for reduction or cancellation after May 15, 2025.

Electrical Connections and Internet
Arrangements for electricity or internet access must be made directly with IAMSE. Details will be sent to all exhibitors by April 1, 2025 at 11:59 PM EDT. Details for these arrangements will be sent to the official contact person.

Exhibit Booth Representation
A pre-registered representative must be at the display during all exhibit hours, including setup and tear down. All booth attendees must be registered and badged. Additional representative badges beyond your package may be purchased for $450 each. Representatives seen at your booth without a badge will be invoiced at the non-member attendee rate.

Liability
Exhibitor agrees to maintain insurance reasonably commensurate with all activities arising from or connected with their exhibit, but not limited to, general liability insurance, with limits not less than $2,000,000 per occurrence, covering personal injury, property damage, and other liability arising from their exhibit. Exhibitor further agrees to submit proof of insurance to the IAMSE office before May 1, 2025 at 11:59 PM EDT.

Non-Educational Activities
Exhibitor sponsored dinners, receptions, entertainment activities and/or meetings may not be scheduled in direct conflict with any scheduled sessions. Requests for space must be approved by IAMSE.

Promotional Materials
All hard copy and digital promotional materials to be shared by IAMSE attendees must be received by IAMSE no later than May 1, 2025 at 11:59 PM EDT. Failure to provide these items may result in delay in distribution.

Shipping
All exhibitors are asked to make individual arrangements for shipping/handling. Details for shipping will be sent to the primary registered representative in April 2025.

Sound Devices/Noise Level
The noise level from any product demonstration or sound system must be kept to a minimum to prevent interference with other exhibitors.

Subletting/Sharing Space
No subletting or sharing of booth space is permitted.

If you will be needing to ship any of your materials to the conference location, here are the directions that have been provided to us from the TELUS Convention Centre:

Additional Labeling Requirements

Additionally, TELUS has required that each shipment is labeled with the following information:

Name of the individual from your company who will be receiving the package on-site

Lastly, the IAMSE Admin team asks that you please label any packages that contain handouts that you will want added to attendee registration packets as "FOR JULIE HEWETT". This way, we will be able to collect those materials quickly so our team can have them added to the registration packets. If you had your materials sent to our office already, no worries! Those materials will be stuffed as well.

Shipping Dates and Holding Fees

The earliest that the Convention Centre will receive shipments direct to show is Tuesday, June 10. Any shipments that arrive sooner may be subject to holding fees. The Convention Centre does offer an advance and post-show warehouse storage - that storage fee will be $84 CAD per 100 lbs. (approx. 45 kg) with a minimum of 200 lbs. (approx. 91 kg).

Return Shipments

Any packages that you will want to send after the conference will simply need to be properly packaged up with the proper shipping label(s) added. You will be responsible for coordinating the pick-up with your courier. Once your shipment is ready, head over to the registration desk so a member of our team can let the Convention Centre know. They will have you shipment sent to the loading dock. 

Other Information

The Convention Centre has let us know that there are no limitations or preferences for shipping couriers. We recommend checking with your standard courier for details on shipping to Canada.

This information is part of the Exhibitors Prospectus Terms & Conditions. All exhibitors must agree to the terms & conditions in order to participate in the IAMSE 2025 Annual Conference.

Requests for electricity are processed through each exhibitor's registration profile. If you requested electricity when you registered, you will have it at your booth. If you did not, please reach out to exhibitor@iamse.org. Wifi will be available to all attendees and exhibitors. 

At this time, we ask that all stuffable materials be sent directly to the hotel using the shipping information above. These materials will be added to attendee packets on-site.  Materials must be received by Tuesday June 10

Exact booth assignments will be made on-site. We can let you know that your space will be in the exhibit space just outside of the general session room, which is located in the Calgary TELUS Convention Centre. A map of that space is shown below. 

*Please note that this is a listing of exhibitor-specific events. In order to fully take advantage of your opportunities as an exhibitor at the IAMSE Conference, we recommend that a representative be present at your booth for a majority of the conference. We highly recommend being present for any meals or breaks. A full listing of the conference schedule can be found here

No, IAMSE does not currently use a lead retrieval system. We do however use a mobile app, Attendee Mobile, which contains user provided contact information.

No, email addresses of attendees are not shared with exhibitors.
